Job Description

A well-established legal organization is seeking an experienced Legal Secretary for a direct-hire position based in San Francisco, CA. This role provides high-level administrative and clerical support to a team of attorneys and is ideal for a detail-oriented professional with strong litigation support experience, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.


Responsibilities

Legal & Administrative Support

  • Prepare correspondence, memoranda, and a wide range of legal documents
  • Assist with new matter intake, including running conflict checks, opening new files, and preparing check requests
  • Answer incoming phone calls, take accurate messages, and route calls appropriately
  • Maintain client lists, contact lists, and other electronic databases

Document Preparation & Court Filings

  • Prepare and file documents in state and federal courts, including e-filings
  • Create and format Tables of Contents and Tables of Authorities
  • Organize, scan, copy, fax, and file documents in both physical files and document management systems

Calendaring & Deadline Management

  • Calendar response dates, litigation deadlines, and key case milestones
  • Maintain multiple calendars and agendas to ensure deadlines are met
  • Provide timely reminders to attorneys and facilitate efficient workflow

Billing & Client Invoicing

  • Prepare client bills, including review and editing of proformas as directed by the billing attorney
  • Prepare billing cover letters and handle copying, scanning, and delivery of finalized invoices
  • Coordinate billing materials for mailing or electronic transmission to clients

Scheduling & Coordination

  • Schedule depositions, hearings, meetings, and conference calls
  • Coordinate court reporters, conference rooms, and logistics for attorney meetings
  • Support attorneys in managing competing priorities and time-sensitive matters

Qualifications

Knowledge, Skills, & Abilities

  • Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Ability to type at least 50 wpm with high accuracy
  • Excellent written and verbal communication skills
  • Strong attention to detail with the ability to manage multiple projects simultaneously
  • Ability to work collaboratively with attorneys and administrative colleagues
  • Flexibility to meet firm needs during peak workload periods, including availability for scheduled overtime as needed

Education

  • High school diploma or equivalent required
  • College degree preferred but not required

Experience

  • Minimum of 5 years of legal secretarial experience in a relevant practice area
  • At least 2 years of experience supporting a billing attorney
  • Demonstrated experience with state and federal court filings and legal calendaring
